We’re living in an increasingly digital world where we’re moving further away from physical documents and pictures to digital formats where everything we need is just a click or a search away. If you’re looking for software to help you quickly and easily digitize your life and move towards a paper-free utopia, NAPS2 may be the perfect solution!
Overview
NAPS2 (short for Not Another PDF Scanner 2) is a completely free and open source scanner application that allows users to easily scan documents to PDF or a variety of other formats including TIFF, JPG, and PNG.
The software features a clean, lightweight, and user-friendly interface that aims to make the scanning process as straightforward as possible without sacrificing flexibility and features.
NAPS2 supports just about any device, operating system, and output format you might be using and packs a slew of features that will satisfy both beginner and advanced users alike.
How I Use It
NAPS2 has become my go-to scanner app both at home and at work. I don’t even bother installing the bundled scanner software that comes with whatever printer/scanner I’m using; NAPS is quicker and easier than all of them and gives me the same scanning experience across all of my devices.
It’s great for scanning a single picture on the glass or a whole packet from the feeder, but I’ve also stumbled upon some tricks that have made it even more indispensable for me.
Batch scanning pictures
I’ve used NAPS2 to batch scan a whole tote of old family pictures. The software has a batch mode where you can configure it to continuously scan with a prompt between each scan or even a set time delay between scans.
You can also tell it whether to import the scans into NAPS2 or save each scan directly to a destination folder. This is perfect for scanning a boatload of pictures!
I usually set it to prompt between scans and load the images into NAPS. All I have to do is manually change the picture on the glass and click one button for it to grab the next image. I also use the deskew option so that each image is automatically straightened for me like magic.
When I’m done, I do a quick visual check of the images in NAPS2 and make any needed tweaks before I have NAPS2 dump them all as JPEGs to a specified folder.

Editing Existing PDFs
NAPS isn’t just great at dealing with scanned documents. You can import existing PDF files and images too! I use this all the time to quickly make edits to existing PDFs – no Adobe Acrobat required.
After dragging one or more PDFs into NAPS2, I can rearrange, combine, split, or delete pages and export my updated arrangement to a new file. I can even drag in multiple PDFs and/or images and mix them together any way I want.
It’s a super quick and handy feature that I use all the time!
More Features
1. Scan Profiles for Quick Setup
One of the standout features of NAPS2 is its customizable scan profiles. A scan profile allows users to predefine settings like resolution, color mode, and file format, tailored to different types of documents. For instance, you might have a profile for scanning photos in high resolution color and another for quickly digitizing text documents in lower resolution black and white.
Once set up, these profiles can be accessed with a single click, saving time and eliminating the need to adjust settings repeatedly. This is particularly useful for users who regularly scan a variety of document types and want to streamline their workflow.
2. Easy Editing: Rotate, Crop, Rearrange Pages
Not every scan is perfect on the first try. Thankfully, NAPS2 provides simple tools to rotate, crop, and rearrange pages within a document.
Drag the pages into whatever order you want. Then, use the simple editing tools to deskew your pages and adjust the brightness and contrast so everything looks just right before you hit Save.
3. Optical Character Recognition (OCR)
NAPS2 comes with built-in Optical Character Recognition (OCR) support in over 100 languages, making it easy to convert scanned documents into searchable and editable text. This feature is particularly valuable for those who need to extract information from physical documents or make their PDFs searchable.
4. Command-Line Interface (CLI) for Power Users
For tech enthusiasts and power users, NAPS2 offers a Command-Line Interface (CLI), which opens up a whole new level of automation. The CLI allows users to perform batch scans, apply specific profiles, and automate repetitive tasks through scripts.
This is a fantastic feature for those who are comfortable with command-line operations and want to incorporate NAPS2 into larger, automated workflows.
Perfect Blend of Simplicity and Power
What sets NAPS2 apart from other scanning software is its balance of simplicity and advanced features. While other programs often lean too far in one direction—either overly simplistic or unnecessarily complicated—NAPS2 manages to remain easy to use while providing all the features advanced users will love.
Whether you’re looking to digitize a home office full of files or just need a simple tool for occasional scanning, NAPS2 is a fantastic choice. Its combination of simplicity, power, and flexibility makes it a standout scanning application. And best of all, it’s completely free and open-source.
